EDITORIAL COORDINATOR

Joffe Books is expanding! We’re looking for an experienced editorial coordinator with proven editorial experience in trade publishing. The successful candidate will project manage a wide-ranging list of commercial fiction, from delivery to publication. It’s a fantastic chance to work with some of our brilliant authors.

At Joffe Books, we are a small, passionate and collaborative team that cares deeply about our authors and our readers. We are looking for a highly organized, fleet-footed, creative editorial coordinator, who can hit the ground running and is keen to make a significant contribution to our growing company. This role would be ideal for an editorial coordinator with great fiction experience, or a desk editor looking for more responsibility and to work across a broad list. We are especially looking for someone with a holistic approach to publishing with excellent organizational skills and exceptional communication. This is not a commissioning role.

Key responsibilities will include but not be limited to:

● Working with the editorial team to assure projects are done on time and on budget.

● Liaising with authors, editors and proofreaders, including requesting and chasing copy and answering queries swiftly.

● Commissioning and communicating effectively with freelance editors and proofreaders.

● Bearing responsibility for ushering manuscripts through the line-editing stage to preparing for ARC and publication.

● Addressing copy-editing and proofreading queries, as well as providing additional copy-editing and proofreading, as required.

● Taking in author revisions at copy-editing and proofreading stages.

● Taking in final revisions or typos sent in by readers following the ARC.

● Maintaining all key information on company systems and production schedules.

● Careful file management to ensure all author files are up-to-date.

● Liaising directly with authors, answering their queries and providing author care.

Experience/skills required:

● Previous project editing or desk editing experience.

● Comprehensive understanding of formatting and editing in Word (using wildcards, macros, etc.).

● Meticulous copy-editing, proofreading and research skills.

● Copywriting/creating blurbs and being able to sum up a novel in a single sentence.

● Excellent attention to detail with very strong communication and organizational skills.

● A proactive can-do attitude and a great team player, with the ability to work independently.

Desired experience/skills:

● Working in digital publishing platforms.

● An interest in keeping up to date with the book industry.

ADMINISTRATOR

Joffe Books is looking for an experienced Administrator to join our team. This is a fantastic opportunity for a highly organised, quick-thinking, creative administrator, ideally with experience working at a publisher, who is looking for a bit more autonomy in their role and wants to make a real contribution.

Joffe Books is an award-winning publisher who really values our authors, readers and publishing team. We have built a reputation for crafting great books for readers, long-term relationships with authors and agents, and fleet-footed marketing of the books we love. We were very proud to be shortlisted for Independent Publisher of the Year at the British Book Awards for the last four years. We won the IPG Trade Publisher of the Year in 2023.

We’re looking for a detail-oriented administrator who can whizz through invoices and royalties statements, and who is as comfortable reading contracts as they are dealing with queries from authors and readers.

Key responsibilities will include but not be limited to:

●     Liaising with out-of-house accounts team

●     Quarterly royalties processing

○   compiling sublicence information

○   updating out-of-house accounts team with new authors/titles information

○   royalties statements, assembling royalties reports, dealing with invoices, including authorizing payments, filing tax forms

○   checking payments

●     Day-to-day administration

○   Processing invoice payments

○   Providing data and materials for rights team

○   Dealing with contracts (reading contracts for royalties, working with DocuSign)

○   Forging strong relationships with authors and providing author care, including arranging gratis book orders, responding to emails

○   Liaising with digitisers and other external suppliers

○   Administering the central schedule, updating budget and accounting figures

○      Digital file management

○   Handling publicity material and ARC materials

○   Carry out all administrative duties such as filing, scanning etc.

Required experience/skills:

●     Solid experience in administration within commercial publishing (or equivalent)

●     Good written communication skills

●     Excellent knowledge of Xero and Excel

●     Ability to manage multiple and changing priorities at once ideally within a creative environment

●     A proactive can-do attitude and a great team player

●     High level of discretion and judgment

●     Highly organized, careful and precise

●     Proactive and resourceful with the ability to work independently

●     An ability to synergize with the rest of the team
